How can I set up user roles? (Step 2.2)

Learn how to set up user roles.


 

In your second Step (2. Access) you can edit your roles and create new ones. To create a new role click on the corresponding button and a new window will pop up. 



1. You need to give your role a name e.g. "Investigator" and optionally add a role description. 

2. Now, add rights to this role. Expand each module by clicking on the litte arrow right next to it. 

3. Tick the boxes of the specific rights you want to allow. 



If a box is grey, it means that you cannot click on it yet. Hover over the  to see more information. Some rights can only be chosen if others are given first. For example: To allow for "update" rights, you first need to allow for "read".


4. Finally, don't forget to click the "Save" button. 


You will be taken back to your general roles overview. 


Once you have created a new role, it will appear in your list. The search bar also gives you the opportunity to search for a specific role. You can easily edit the user rights again any time you want. There are two different ways of doing so. Find out which way suits you better.


Either click on the arrow next to the module to expand every right belonging to this module and tick or untick the boxes.
 You can also click directly on one specific role to open a new window to individually editing the rights for this role.



⭐ Good to know:

In this phase of the setup, you not only define the rights of the respective roles, but also which information is displayed in the subject overview. For example, if you define the role that this person basically has the right to sign, but not the right to lock an input form, this role will only see the column of signatures on the overview. However, the column on the locking status is not displayed. 


Please note: If you give a role e.g. the right to sign, it does not mean that this role can automatically sign all input forms. Which and whether an input form is to be signed is determined in the structure of the respective input form. Read the following article for more information: How do I build an input form?
