How do I export data of my study?

Learn where and how to export data of your study.

Export


In a first step, go to the subject overview.



 




⭐ Option 1: click on the button "Data export" on the left sidebar from anywhere you are in the study ➡️ A window will pop up where you can choose the data you want to export. 


⭐  Option 2: in the subject or (S)AE overview select the subjects or (S)AEs you wan to export by checking the boxes in front of the SIC, then select "Data export" on the left sidebar. ➡️ This way the pop-up window will be prefilled. 




 



Type of Data: 

First, select the type of data you want to export.

  • Subject-specific Data 
  • A blank CRF (as PDF) without any data, comments or details
  • An annotated CRF (as PDF) which provides details about the set up of the study, including information such as export labels, validations, dependencies of each input field. 
  • The randomization allocation list which provides information on which slots have already been allocated. These are supplemented with information in when and by which collaborator the respective subject was randomized. Read the following article to read further information about the premium feature "randomization": How to set up randomization (Step 4)


⚠️ Please note: in case of a PDF export of the eCRF it may occur that black boxes appear behind rich text fields. This happens mainly when text passages have been copied and pasted from a Word document. To avoid this, you can change the background color of the rich text field to white. 


⚠️ Please note that there is no separate annotated PDF for the (S)AE module (if applicable). This is displayed in the general aPDF.

SICs: 

If you have chosen to export subject-specific data, then you are able to select the subjects via the SICs. You can select all SICs, multiple or single ones. 

Data to export and data format: 

Now choose the data you want to export and the desired data format.

Depending on the selected data, the options of data format will adapt respectively.


Subject Information


You can either choose PDF, XLSX or CSV. For CSV you can then select the file delimiter. 


Scheduled Events: 


In a PDF you can decide whether to include unfilled fields within the input forms. 





XLSX gives you the option to consolidate tabs (see below) which gives you a more compact version of the data.

In addition, you have the option, in the case of table use in the EDC system, to export this as a vertical table. Please note that in this case the table appears in a separate tab in the export. The name of the tab corresponds to the export label of the table.

For CSV you can also select the file delimiter.




Consolidate tabs: an input form (e.g. "Health Status") that is used in several steps of the workflow is consolidated in the same Excel sheet/CSV file.


e.g. XLSX: 


Unconsolidate tabs: each input form (e.g. "Health Status") is exported in a separate Excel sheet sheet/CSV file. 


e.g. XLSX





Unscheduled Events: 

Select XLSX or CSV and consolidate tabs if desired.


(S)AE Data:

Select all or specific (S)AEs via the toggle button:

You can choose PDF, XLSX or CSV. 


Sample Data: 

Select all or specific samples via the toggle button:

You can choose XLSX or CSV. 


Query Data:

Select XLSX or CSV.


Audit Trail:

The Audit trail is available in PDF format.


⚠️ Please note that you can only pull an audit trail export for each individual subject.


If you would like to export the audit trail, please contact your Customer Success Manager. ⭐


Finally, click on the button at the bottom right to proceed and the download will start automatically. Depending on the volume of the data this could take a few moments.



  The export can be either downloaded directly in your open browser or you can download the file once ready via the link that you receive via email.


⚠️ When receiving an email, the link will automatically expire within 24 hours due to security reasons.

Depending on your permissions, you can export various data captured in our system. Note that the available export options are individually adapted based on your user and role settings. To ensure GCP compliance, customers can use the Subject Audit Trail to track all input and data changes. In this videos, we will show you how to find and export the Audit Trail. Please note that you need specific role permissions to view and export it.
