Learn how to proceed with an amendment of the workflow.
⚠️ Please note: Amendments can only be implemented in the sandbox environment. Please read the following article first: Sandbox Environment - Updating Active Studies and Surveys |
1. Order of the Workflow
Change:
If you want to make changes to the workflow of an active study, you will receive this warning:
In order to be able to change the workflow, you need to create a sandbox environment. Please refer to the following article: Sandbox Environment - Updating Active Studies and Surveys
2. Step or Form
Add:
If you add a step or a form, consider that the subjects enrolled so far will not have had the chance to fill this step/form. The progress bar will adapt accordingly for pre-existing subjects in the subject overview.
Delete:
The data entered so far will be deleted. The progress bar will adapt accordingly for pre-existing subjects in the subject overview.
⚠️ To prevent data loss, we highly recommend talking to your responsible Customer Success Manager prior to this action! |
3. ePRO Reminder
Add:
You can add reminders for ePROs subsequently and emails will be sent out once scheduled.
4. ePRO Step
Add / Change:
If you change the scheduling of the ePROs (e.g. from scheduled to "visibility"), add input forms within a step or even an entire step, rescheduling will not take place until 5 minutes after the change. This time delay gives you the opportunity for further changes or to reverse the change.
5. Step type: ePRO/Visit event
Change:
Visit event to ePRO:
For subjects enrollment in the future, you will need to enter an email address and/or phone number.
For subjects already enrolled, there won't be a send-out of an ePRO. However, there is a workaround to send the ePROs manually for those cases:
![]() | In your subject overview, click on the settings icon next to the search bar. |
![]() | Now toggle on "Data collection". |
![]() | A column named "Data collection" appears which indicates the subjects with non-ePRO data collection. Click on the "non-ePRO" for the respective subject. |
![]() | Now, you can select to send a link to the subject and type in the email address or mobile phone number of the subject. |
![]() | Go to the column "ePRO" and click on "0/1" which indicates how many ePROs have been sent. |
![]() | Select all ePRO steps for which you wish to send a link to the subject and click "Send link manually". |
