How can I edit queries?

What are queries?

Queries are clarification requests that can be made directly to an input field. They are usually created by a monitor or data manager. The reasons can vary, but they are usually created when data is implausible, missing or even wrong. 





How do I edit queries?

  1. First, you should find out whether you have the rights to edit a query.
  2. Open the study you are working with.


3.In the general subject overview, you will see a red mark in the "Queries" column. This means that the monitor or data manager has created a query on a particular field. The number inside the circle corresponds to the total number of queries for this subject within the chosen view. The query display is flexible, meaning that queries will be shown per step and/or form so long they were created within these forms.

In "All steps", you can view the total number of queries of all steps, forms and fields for this subject is shown. If > 1 queries have been created for a subject, the system displays the lowest status color of all queries (red, yellow, green). Click on the red mark in the "Queries" column.

For >1 queries you will transfer to the query overview, which is explained in more detail in this article. The queries for this particular subject will be pre-selected/filtered for updates.


For 1 query you will be redirected to the field where this query was created and a column with the query history will open. At this point, you can also see a red question mark next to the field. Now you can answer the query as an investigator or a study nurse. To do so, enter your answer in the comment field and change the status to "Unconfirmed", "Confirmed" or "Resolved". 


5.As soon as you have saved the change, the red question mark next to the input field changes to a yellow tick. In addition, the color of the query mark in the subject overview of the study also changes.

6.As soon as the monitor's or data manager's query has been answered, the monitor or data manager closes the query. The symbol next to the input field turns into a green circle and the marker in the subject overview also turns green. This concludes the processing of the query. Be aware that queries also can be re-opened. 




⚠️A change of the status can only be made if a comment is entered in the remark field. A saved query (or comment) can no longer be deleted.


⚠️Answering the query does not update the field itself. If the query asks you to review and update the field, you need to do this in addition to answering the corresponding query.






Automated queries

Automated queries could be set up in the study setup. These appear, similar to the validations, if the set conditions apply. You can recognize an automated query by the thread message.



How does automated closing of queries work? 

All of the following conditions have to be met in order for an automated query to be automatically closed by the system:

  • All previously opened queries in the thread were made by the system and are automatically marked as "non applicable" by the system after the value has been updated by a user and the query condition no longer applies
  • A user has not added a manual comment to the query thread - e.g. commenting that the input field value has been updated




⭐ When does the system mark a query as "Not applicable"? 

If a value of an input field that an automated query condition was set on is updated, with the result that the value does no longer meet the query condition, the system will automatically mark the query message with a tag called "Not applicable" inside the query message thread. 










Queries in (S)AEs


The editing of (S)AE queries within the (S)AE overview (if applicable) follows the same process (3). Click "(S)AE" in the left bar to go to the overview of the (S)AEs of your study. Click on the query icon in the "query" column and follow the steps described above (4-6).
