Survey Overview

Modified on Wed, 6 Nov, 2024 at 1:00 PM

Find out here which information you can obtain directly from the survey overview.

To access the survey overview, click on the survey in the general survey overview. You will be directed to this view.

SICIn the first column you find the individual subject number (in this case called SIC). Next to the SIC you find a blue icon. If you click on the paper sheet icon ("Open input form"), the input form for the respective subject will open.
Assignee(s)You can choose an assignee for this specific subject. This is a person you want to assign the subject to. However, this option is used in studies rather than in surveys.
Progress

This display shows you the percentage of the questions have already been answered. It is important to note that the progress is composed of the input fields that have been marked as required. If there is only one field marked as required, the system will register the questionnaire as 100% completed as soon as this field is filled. If there is not any field marked as required, the system will consider all open questions.

Required fields hidden by a dependency are not considered missing and are not calculated in the progress.

UpdatedAs the name suggests, this column shows the date and time stamp when the respective subject was updated within an input form. If you hover over the respective timestamps, you can see in which form an input field was updated with which value.
CreatedIn this column you can find out on which day and at which time a subject was enrolled into the system.

Search bar and actions

To search for specific subjects or other information, you can use the search bar, or use the with filtering option. If you would like to know more about the smart filter, read the following article.

If you are authorised to do so, you can easily update the SIC or assignee, archive an entry or re-enroll a subject.

Tick the box in front of the subject.
Then go via "Actions" and choose the respective action you want to update.

Archive entry: You will be asked to confirm this action, because archiving means you are removing this subject. Please note that retrieving survey entries after archiving involves a great deal of technical effort and should be used with caution.

Re-enroll: If you click on "Re-enroll" then you firstly will be asked to choose in which step the subject should be reenrolled.

⭐ If you are re-enrolling a subject then the SIC will stay the same, but you freeze all data entered so far and a "fresh version" of this subject will be created with the same SIC but no data entered so far. This is how the action will look like:

Update SIC: You can enter a new SIC if required.

Update assignees: If you update the assignee, remember that new assignee will not be automatically informed about this transaction.

Finally, you can also display the individual input forms or fields directly in this overview.

If you click on "All forms" above the table, a drop-down list opens in which you will find all survey steps. If you now click on a step, the view will adapt to this step.

You can also work with unfolding steps and by clicking on the plus sign you can even see all input fields created in this form together with the entered answers.

Find out for yourself which way works easier for you to work with.
